What your software provider will not tell you about implementing an ERP system

Enterprise Resource Planning (ERP) systems can be a powerful tool for organizations looking to streamline their business processes, increase efficiency, and transform data into actionable information. However, despite the potential benefits, implementing an ERP system can be a challenging and complex process. Your software provider may not fully disclose the realities of ERP implementation, which can lead to unexpected challenges and costs down the road. This is not to say software providers are bad. These are things that should be more emphasized up front. 

Implementing an ERP system is Hard

One of the most significant challenges of ERP implementation is the time and effort it requires. ERP implementation is not a quick and easy process, and it can take months or even years to fully implement. The software provider may not mention the extent of the time and effort required, but it's important to be prepared for a significant commitment.

The requirements will change and so will the costs

Another challenge of ERP implementation is businesses often change their minds about what they want or the state of the business changes. A change has several impacts, one the change has to be vetted against the rest of the design for any conflicts. Although the change may take a few moments, change has a ripple effect. Depending on the timing, documentation, test cases, and training material all have to be updated along with the change. Unit testing, Integration, and acceptance testing may all have to be duplicated, further adding to the cost. Not to mention the cost of simply discussing the change.

It's also important to remember businesses change and evolve, which means your ERP system will need to adapt and change as well. Think about it for a moment. Is your business the same as it was a year ago? If it can take up to a year to implement the software, the original requirements may no longer apply. This will lead to additional costs and time. Many software providers are not equipped to provide this ongoing support. It is difficult to anticipate the need and timing of these requests.  may not mention that the ERP system will need to be flexible and adaptable to meet the changing needs of your business.

It is important to remember there may be multiple ERP systems that could work for your business. It makes sense the software provider wants you to choose theirs. Frankly, it is not their job to vet software for you. That is the responsibility of the purchaser. Therefore, it is essential to consider all your options and determine the best fit for your business. 

However, with the proper preparation and mindset, organizations can ensure a smooth and successful implementation. Here are some tips on how to prepare mentally for the implementation of an ERP system:

  • Acknowledge that change is difficult: Implementing an ERP system is a major change for any organization, and it can be difficult for employees to adjust to new processes and systems. It's important to recognize that change can be difficult and to allow time for employees to adjust.

  • Be open-minded: The implementation process may uncover areas of your business that need improvement or areas where you need to change your current processes. Be open-minded and willing to make changes for the betterment of your organization.

  • Be prepared for challenges: There will be bumps in the road during the implementation process, and it's important to be prepared for them. Be flexible and willing to find solutions to any challenges that arise.

  • Embrace the learning process: Implementing an ERP system is an opportunity for your organization to learn and grow. Embrace the learning process and take advantage of the opportunity to improve your business processes.

Additionally, it is important to be aware that while ERP implementation is a complex and challenging process, it can be successful with the right preparation and commitment of time and resources. By being aware of the potential challenges and limitations that may arise, you can make informed decisions and ensure your organization is prepared for a successful ERP implementation.
